    Donation register to PDF

Turn the donation register into a receipt the donor can keep

Drives and temple counters often capture donations on paper first. Donors still expect organisation header, amount, date, and receipt number on a page they can store.

    1. 1

      Match the donation row

Donor name, amount, and date from the register or campaign list before anyone downloads.

    2. 2

      Fill organisation header

Org name and address required. Phone, email, website, and Estb Regd No. print only when entered.

    3. 3

      Lock receipt number

Same number as your register. Received from and received by stay as separate lines.

    4. 4

      Amount once

Type the rupee figure. Words fill on the PDF so the handwritten total and the digital line cannot disagree.

    5. 5

      Preview and send

Live preview matches the download. Share with the donor; keep your copy under the receipt number.

    6. 6

      Reissue when asked

Bill History or the same donation details again. Do not invent a new receipt number for an old donation.

    Common blockers

Donation recorded, but the receipt is still missing

Most downloads here start after the money is in: campaign lists without PDFs, phone photos of the register, or a donor asking weeks later.

Campaign ended, but donation receipts were never issued

Volunteers still hold the list on the desk. Donors later ask for a PDF with your organisation name, amount, and receipt number.

One-time and recurring donors use the same receipt layout

Only donor, amount, date, and receipt number change between downloads.

A donor asks for last month's copy again

Pull it from Bill History, or enter the same donation details and send a fresh PDF.

A phone photo of the register is hard to file

Fill the form, check the live preview, and download a PDF the donor can archive.

    Who issues, who holds

The trust or NGO issues the receipt; the donor keeps it

Staff and volunteers enter organisation and donation details. The PDF goes to the donor; your office keeps the same receipt number against the register.

    Issuers

    • NGOs and registered trusts
    • Temple and charity offices
    • Campaign volunteers issuing slips

    Recipients

    • Individual donors
    • Corporate donation contacts
    • Organisation file for the same donation

    Optional header line

Estb Regd No. prints only when you fill it

Optional organisation registration text for the header. Put your 80G number there only when your trust already prints one on receipts. Leave it blank when that line should not appear.

    • Description is free text for a campaign or purpose under the organisation name.
    • Address, phone, email, and website print in the header only when entered.

    Amount on the receipt

Enter the amount once; rupees in words fill on the PDF

Charity slips are often checked against a handwritten total. Entering the amount twice invited mismatches, so the form converts the number to words on the PDF.

    • Receipt number, date, received from, and received by stay as separate lines.
    • Upload a logo or paste a URL when the header should show your organisation mark.

    Before download

Match the PDF to the donation register row

Swapped donor names and reused receipt numbers cause most re-downloads.

    After the donation

How trusts keep donation records after the drive

Once the donor has their copy, the office job is filing by receipt number and answering duplicate asks without inventing a new donation record.

    File by receipt number

Send the donor their PDF. Store yours under the same receipt number as the register so a later ask points at one document.

Keep campaign lists and PDFs together

When a drive ends, match issued receipts to the list. Missing PDFs are easier to rebuild when the register already has donor, amount, and date.

    Reissue without a new number

If the donation is in Bill History, regenerate from there. Otherwise enter the same details again. Do not mint a fresh receipt number for an old donation.

    FAQ

    Donation receipt mechanics

Amount in words, logo, registration line, reissue, and downloads.

Can I edit the donation receipt before downloading?

Yes. Organisation details, donor name, amount, date, receipt number, received-by, logo, and description stay editable until you download. The live preview updates as you type.

Is the donation receipt available as a PDF?

Yes. Download saves a PDF for the donor and for your organisation file. Signed-in users can re-download earlier receipts from Bill History.

How does amount in words appear on the receipt?

Enter the rupee amount as a number. The form converts it to words on the PDF. You do not type the words line separately.

What is the Estb Regd No. field for?

An optional header line for your organisation registration number. Include an 80G number there only when your trust prints one on receipts. Leave it blank when that line should not appear.

Can we add our NGO logo?

Yes. Upload an image or paste a logo URL. The mark prints with the organisation name at the top of the receipt.

A donor asked for a copy weeks later. Can we reissue?

If the donation is in Bill History, regenerate from there. Otherwise enter the same details again and download a fresh PDF. Keep the original receipt number; do not mint a new number for an old donation.

Do I need a subscription to download donation receipts?

Your first bill is free after sign-up. After that, pay ₹10 per download or get unlimited downloads with ₹99 per month or ₹499 for a year. No auto-renewal. See the pricing page for details.
